Terms of use

General terms of use.

The ground rules between you and Locagex: what the service gives you, and what each party commits to.

Last updated: October 10, 2026

This English version is provided for convenience. These terms are drafted in French, and the French version is the only authoritative version (see section 22).
By creating an account or using Locagex, you accept these terms.

1. Purpose & contractual documents

These general terms of use ("Terms") set out the conditions for accessing and using the Locagex platform, available on the website and mobile apps, published by Vincy Dev Corp ("the Publisher" or "Locagex").

They apply to every user, whatever their profile: landlord, agency, management company, manager or staff member, tenant, applicant, technician or contractor, visitor to the Listings area.

The relationship between the user and Locagex is governed, in decreasing order of priority, by:

  • where applicable, the specific terms or signed quote (in particular for the Diamond plan);
  • these Terms;
  • the Privacy policy and the Cookie policy;
  • the prices displayed on the Pricing page at the time of subscription.

2. Definitions

  • Organisation: the management workspace of a private landlord, an agency or a management company, in which its properties, units, leases, tenants and entries are recorded.
  • Managing user: any person with access to an Organisation (owner, manager, staff member), with the rights granted by the Organisation.
  • Tenant: any person linked to a lease managed in Locagex, including a rental applicant.
  • Technician: any contractor invited by an Organisation to work on a property.
  • Active unit: a non-archived unit of an Organisation, used as the basis for calculating the subscription.
  • Content: the information, listings, photos, videos, documents and messages submitted by users.

3. Publisher & territories covered

Locagex is published by Vincy Dev Corp, an SA with share capital of $850,000, whose registered office is at 65 Yung Kuang Rd, Singapore 610063. Full details appear in the legal notice.

The service is mainly offered to users located in France, Belgium, Côte d'Ivoire, Benin, Senegal, Cameroon and the Democratic Republic of the Congo. It can be used from other countries, in particular by the diaspora, to manage properties located in these territories. Some features (lease templates, payment methods, tax settings) depend on the property's country and may not be available everywhere.

4. Access & accounts

4.1 Sign-up

Sign-up is free. It is reserved for adults with legal capacity, and for legal entities represented by an authorised person. Users can create their account with an email address and password, or via a Google or Facebook account; in the latter case, Locagex only receives the identity information needed (last name, first name, verified email address).

Users undertake to provide accurate information and keep it up to date. Locagex may require verification of the email address, in particular by a one-time code.

4.2 Multiple profiles

A single user can hold several profiles with one login (for example landlord and tenant, or manager of several Organisations). Each Organisation's data remains segregated: a landlord never has access to information held by another.

4.3 Organisations & staff

The owner of an Organisation can invite staff members and grant them rights. They remain responsible for the access they grant, for the actions carried out by their staff and for removing access from people who should no longer have it.

4.4 Linking tenants and technicians

A tenant is linked to a lease using an assignment code provided by their landlord; a technician is linked to an Organisation by invitation. By entering this code or accepting this invitation, the user agrees that the Organisation concerned may access the information needed to manage the lease or the job.

4.5 Account security

Users are responsible for keeping their login details confidential and for any activity carried out from their account. They must inform Locagex without delay of any unauthorised use. Locagex may revoke an account's active sessions when a security risk is suspected.

5. Services offered

Locagex provides a set of property management tools. Depending on the profile and plan, they include in particular:

AreaFeatures

Locagex continuously develops its features. It may add, change or withdraw a feature; when a withdrawal deprives a paying subscriber of an essential feature of their plan, it informs them at least 30 days in advance, and the subscriber may cancel free of charge before the withdrawal date.

6. What Locagex is not

Locagex is a management software publisher. It does not act as:

  • a real estate agent, property manager or representative of a landlord or tenant: it does not search for tenants, negotiate or enter into any contract on behalf of a user;
  • a payment or e-money institution: subscription and option payments are executed by third-party payment providers;
  • a legal, tax or accounting adviser, or a notary: templates, calculations and documents are tools for the user to adapt;
  • a party to contracts concluded between users (lease, stay, sale, works contract).

Locagex does not verify users' identity, solvency, title deeds or qualifications, unless expressly stated otherwise. Agencies and management companies remain solely responsible for holding the authorisations, professional cards, guarantees and mandates required by the regulations of their country.

7. Subscription & payment

7.1 Free features and paid plans

Sign-up, the tenant account, the technician account and browsing the Listings area are free. Management features are offered by subscription, in tiers based on the number of Active units, shown on the Pricing page. Beyond the highest tier displayed, the plan is quoted on request.

7.2 Activation, term and renewal

Free trial. Landlords, companies, agencies and Listings Account holders can start a 30-day free trial from the Subscription page, with no payment method required. The trial covers up to 5 Units (2 principals for an agency); the financial statement, inventory reports, user management and data import remain reserved for subscribers. Only one trial is granted per Organization, user, email address, phone number and device. If no payment is made by the end of the trial, the account switches to read-only mode under the conditions of the paragraph below; data entered is kept. A subscription taken out during the trial may qualify for a discount on the first invoice, under the conditions shown in the Subscription area. Locagex may change or withdraw the trial offer for the future, without affecting trials in progress.

The subscription, monthly or yearly, is activated upon receipt of the first payment. It covers the period paid for and is renewed by a new payment at each due date. Reminders are sent before the due date.

If payment is not made, a grace period of 3 days is granted after the due date. After this period, and as long as the subscription is not active, the account switches to read-only mode: data remains viewable, but creating and editing are blocked, except for the subscription, settings and referrals.

7.3 Changing tier

When the number of Active units exceeds the limit of the subscribed tier, the subscription moves to the next tier up; when it decreases, the subscriber may move down. The terms for adjusting the price during a period are set out in the Subscription area.

7.4 Prices, currencies and payment methods

Prices are displayed in the currency of the Organisation's country (in particular in CFA francs). Amounts in another currency are indicative. When a Mobile Money payment is made in another currency, the converted amount, calculated at the current rate, is shown before confirmation; the user bears any fees charged by their operator.

Payments are made by Mobile Money or bank card, through third-party payment providers (such as FedaPay or PawaPay), under their own terms. Locagex does not store full bank card details.

Prices include all applicable taxes, unless stated otherwise. Locagex may change its prices; any increase applies from the next renewal and is announced at least 30 days in advance.

7.5 No refunds

Any period started is due. Subject to the right of withdrawal set out below and to applicable mandatory provisions, no refund, in whole or in part, is due in the event of cancellation during a period, a decrease in the number of units or non-use of the service.

8. Right of withdrawal (consumers)

Users acting as consumers and residing in a country that grants them a right of withdrawal for distance contracts (in particular France) have 14 days from subscription to withdraw, without giving a reason, by writing to [email protected].

If they expressly request immediate access to the service before the end of this period, they acknowledge that performance begins upon payment; in the event of withdrawal, they remain liable for an amount proportional to the service provided until their withdrawal. The right of withdrawal does not apply to "Sponsored" featuring fully performed before the end of the period with their express consent.

9. Referrals, promo codes & partners

Each Organisation has a referral code. Partners (including content creators) may also share a personal promo code. The associated benefits (percentage discount, free subscription days) are shown when the code is used and may vary from one code to another.

  • The benefits for the referred customer and the referrer are only granted after actual payment of a subscription invoice by the referred customer; sign-up alone does not give entitlement to any benefit.
  • The referrer's reward takes the form of extra days or a credit applied to their own subscription invoices. It is not refundable, convertible into cash or transferable.
  • Free days for a referrer whose subscription is not active are kept and applied to their next payment.
  • Only one code may be used per referred Organisation. Self-referral, creating fictitious accounts, paying then cancelling or any abusive manoeuvre leads to the cancellation of benefits and, where applicable, suspension of the accounts concerned.

Partners' and content creators' remuneration is governed by a separate agreement with Locagex; it is never taken from landlords' or tenants' accounts.

10. Featuring listings ("Sponsored")

Any landlord may, as a paid option, feature a published listing for a set period (7, 15 or 30 days) at the price displayed at the time of purchase. The listing then appears, marked "Sponsored", among a limited number of slots at the top of the results matching the visitor's search; these slots may be shared in rotation with other featured listings. Locagex guarantees neither a number of views, nor a number of contacts, nor the letting or sale of the property.

The featuring period runs from payment, whether or not the listing remains visible. No refund, in whole or in part, is due if the listing is suspended, closed or deleted by the user, or removed by Locagex for breach of these Terms. Outside featuring, the order of listings depends on the search and sort criteria chosen by the visitor.

11. Rent & money flows

Payment of rent, charges, deposits and stays is declarative: money flows directly between the tenant and the landlord (or their agency), using the payment methods the landlord provides in Locagex. Locagex records the reported payments, which the landlord confirms or disputes; it does not hold these funds and takes no commission on rent.

The landlord is solely responsible for the accuracy of the payment methods they provide, for confirming payments received and for receipts issued in their name. A receipt must only be issued for a payment actually received.

In the agency workspace, amounts due to owners, management commissions and payouts are calculated from the data entered by the agency, which remains solely responsible for them towards its clients. A manually entered payout corresponds to a transfer made by the agency outside Locagex.

Any future feature allowing rent to be paid through a payment provider from Locagex will be subject to specific terms, presented and accepted before first use.

12. Generated documents & templates

Leases, draft sale contracts, receipts, rent notices, inspection reports, statements, accounting reports and tax support documents are generated from the information entered by the user and from generic templates, adapted to the property's country where possible.

  • They are provided as a tool: the user checks their accuracy and compliance with their situation and the law applicable to the property, and has them reviewed by a professional if necessary.
  • A draft real estate sale contract is not a deed of sale: it must be completed and, where required by law, authenticated by a notary.
  • Accounting and tax reports do not replace certified bookkeeping or a filing with the authorities; tax settings are entered by the user.
  • The signature applied to a document is the one uploaded by the Organisation; the Organisation guarantees that it is authorised to use it. This application does not constitute a qualified electronic signature.

13. Listings & user content

Users remain the owners of the Content they submit. They grant Locagex, for the duration of its publication and worldwide, a free, non-exclusive licence to host, reproduce, technically adapt (compression, cropping) and display it, in order to provide the service and, for published listings, to distribute them in the Listings area and its promotional channels.

The author of a listing guarantees:

  • that they own the property or are duly mandated to offer it;
  • that the listing, price, surface area, photos and conditions are accurate and up to date, and that the property is genuinely available;
  • that they hold the rights to the photos, videos and text published, and have the consent of any recognisable people;
  • that they do not apply any discriminatory criterion (origin, religion, gender, disability, family situation…) when choosing applicants.

Locagex may change the presentation of, or remove from the Listings area, any listing that is inaccurate, misleading, fraudulent, unlawful or contrary to these Terms, and delete any manifestly unlawful Content reported to it. A removed listing remains accessible to its author in their management workspace, with the reason for removal. Any user may report content to [email protected].

Be careful: never pay any money (deposit, application fee, reservation) before visiting the property and checking the landlord's identity. Locagex never asks for payment for a viewing.

14. Obligations & prohibited uses

Users undertake to use the service in accordance with the law and these Terms, and to respect the rights of third parties, in particular those of tenants, owners and technicians. In particular, it is prohibited:

  • to publish fictitious listings, listings for properties already let, or listings designed to fraudulently obtain a payment or personal data;
  • to use messaging, reminders or notifications to harass, threaten or solicit for purposes unrelated to managing a property;
  • to extract data or listings on a large scale (bots, scraping), without Locagex's written consent;
  • to circumvent technical limits, the subscription or read-only mode, to test the security of the service without authorisation, or to disrupt its operation;
  • to upload malicious files or unlawful content;
  • to use the service to launder money or for any illegal activity.

15. Personal data

Locagex processes its users' data in accordance with the Privacy policy and the laws applicable in the countries covered, in particular the General Data Protection Regulation (GDPR) for users located in the European Union, and the national personal data protection laws of Côte d'Ivoire, Benin, Senegal, Cameroon and the Democratic Republic of the Congo.

  • For account, subscription, billing and security data, Locagex acts as data controller.
  • For the data the Organisation records about its tenants, applicants, clients and technicians (identity, supporting documents, leases, payments, inspection reports), the Organisation is the data controller and Locagex acts as processor, on its instructions and solely to provide the service.
  • The Organisation guarantees that it has a legal basis for each piece of data entered, informs the people concerned, only collects the documents necessary and respects retention periods.
  • Locagex uses technical sub-processors (hosting, email sending, notifications, payment, audience measurement) and may transfer data outside the user's country, with appropriate safeguards described in the Privacy policy.

16. Assistance & support access

To provide assistance, ensure security, fight fraud and keep the service running properly, authorised Locagex staff may access account and Organisation data, as far as necessary.

At the user's request or to resolve an incident, support may view the account as the user sees it and, with double confirmation, carry out an action in it (for example correcting a setting or resending a link). The staff concerned are bound by confidentiality, authenticate with two-factor authentication, and every access and action is logged.

17. Intellectual property

The platform, its software, apps, databases, document templates, texts, trademarks and logos are the property of the Publisher or its licensors. The subscription grants a personal, non-exclusive, non-transferable right of use, limited to the duration of the subscription and the user's management needs. Any unauthorised reproduction, resale, decompilation or exploitation is prohibited.

Locagex may use aggregated, anonymised statistics, which identify neither a user nor a property, to improve the service and publish market indicators.

18. Service availability

Locagex strives to ensure continuous availability of the service, without guaranteeing that there will never be any interruption. Maintenance operations may cause temporary unavailability, announced in advance where possible. Mobile apps may require an update to keep working.

Locagex makes regular backups but does not take the user's place in keeping documents they are legally required to retain. Users can export their accounting data and download their documents at any time.

19. Liability

Locagex has an obligation of means. It cannot be held liable for damage resulting from:

  • misuse of the service or incorrect information entered by a user;
  • relationships between users (unpaid rent, rental disputes, quality of works, fraud by an advertiser);
  • a failure by a payment provider, telecommunications operator or network;
  • force majeure.

For professional users, Locagex's total liability, for all causes combined, is limited to the amounts paid to Locagex in the 12 months preceding the event giving rise to the claim, and excludes indirect damage (loss of revenue, rent or customers). This limitation does not apply in the event of gross negligence or wilful misconduct.

For consumers, these clauses do not limit the rights granted to them by the mandatory provisions of the law of their country of residence.

20. Suspension & termination

20.1 By the user

Users may stop using the service at any time and not renew their subscription. They may request closure of their account and deletion of their data at [email protected], subject to the data that Locagex or the Organisation must keep by law (in particular accounting and tax data).

20.2 By Locagex

Locagex may suspend or close an account, remove a listing or cancel benefits in the event of a serious breach of these Terms, fraud, a security risk or at the request of an authority, after informing the user where possible. Amounts paid for the current period remain due in the event of a breach by the user.

20.3 Data after the subscription ends

Without an active subscription, the account remains viewable in read-only mode, which allows data to be exported. Locagex may delete the data of an Organisation that has remained inactive and without a subscription for 10 years, after notifying the owner at least 30 days in advance.

20.4 Transfer of management

When an owner takes back the management of properties entrusted to an agency, and after approval by the agency, a copy of their properties and active leases is created in their own Organisation. The history (payments, inspection reports, breakdowns) remains in the agency's Organisation, which remains responsible for it.

21. Changes to the Terms

These Terms may be amended to reflect legal, technical or functional changes. Substantial changes are notified to users by email or in the app at least 30 days before they take effect. Users who refuse them may cancel free of charge before that date; continued use after that date constitutes acceptance. The version in force is always available on this page.

22. Governing law & disputes

These Terms are drafted in French, which is the only authoritative version. They are governed by the law of the country in which the property is registered and, for professional users established in an OHADA member state (Côte d'Ivoire, Benin, Senegal, Cameroon, Democratic Republic of the Congo), by the OHADA Uniform Acts for the matters they govern.

The lease, stay or sale contract concluded between users remains subject to the law of the country where the property is located.

In the event of a dispute, the parties first seek an amicable solution: the user sends a written complaint to [email protected], which replies within 30 days. Consumers residing in France may then use the consumer mediator free of charge.

Failing agreement, disputes with a professional user fall under the jurisdiction of the competent courts of Singapore. Consumers may bring proceedings, at their choice, before the courts of their place of residence or those designated by the applicable law; the mandatory consumer protection provisions of their country of residence remain applicable.

23. Contact

For any question about these Terms: [email protected] or the Contact page.
